How we collect, use and protect your personal information, and your rights.
1. Who we are
Section Scale Ltd, a company registered in England and Wales with number 17539680, whose registered office is at SMA Studio, Prospect House, 2 Athenaeum Road, London, N20 9AE is the controller of the personal information described here. We are registered with the Information Commissioner's Office under number ZC292266. Contact us about anything in this policy at enquiries@sectionscale.co.uk or by post at SMA Studio, Prospect House, 2 Athenaeum Road, London N20 9AE.
2. What we collect
- Enquiries: your name, email address, phone number, the property postcode, the survey you need, any message you write, which page you used, how you found us, and advert tracking codes in the page address if you arrived from an advert.
- If you become a client: your contact and billing details, the property address and access arrangements, quotes, the record of your acceptance (name typed, time, terms version and a scrambled record of the internet address and device used), invoices, payments and our correspondence.
- During the survey: measurements, photographs and laser scans of the property. We aim not to capture people; if anyone appears in a scan or photo, we remove or blur them in anything we deliver.
- Security records: a scrambled (one-way encrypted) version of your internet address, so we can block abuse of our forms. It cannot be turned back into your address.
If you contact us another way, such as WhatsApp, phone, email or an enquiry form on Facebook or Instagram, we record the details you give us in the same system. Meta Platforms Ireland Limited collects details entered in Facebook and Instagram forms on our behalf, and WhatsApp handles messages under its own terms.
3. Why we use it, and our lawful basis
| Purpose | Lawful basis |
|---|---|
| Replying to your enquiry and preparing a quote | Steps you asked us to take before a contract |
| Carrying out the survey, delivering drawings, invoicing and collecting payment | Performing our contract with you |
| Keeping accounting and tax records | Legal obligation |
| Keeping project records in case of questions or claims, protecting our website from abuse, and recording acceptance of quotes as evidence of the contract | Our legitimate interests |
| Asking a client for a review after a completed job (you can opt out at any time) | Our legitimate interests |
| Measuring our adverts with cookies | Your consent, which you can withdraw at any time |
We never sell your information or use it for unrelated marketing. You do not have to give us your information, but without it we cannot quote or carry out the survey.
4. Who we share it with
- Our website and database hosting provider (Render, servers in Frankfurt, Germany) and our security and network provider (Cloudflare).
- Our email providers, which deliver our messages to you.
- Our encrypted backup storage provider (Cloudflare, in Europe).
- The surveyors and drafting staff who carry out your survey, who are bound to keep your information confidential.
- Our accountants, and HM Revenue and Customs where the law requires.
All of them act on our instructions or under their own legal obligations. Some providers may process information outside the UK. Where they do, the transfer is covered by UK adequacy regulations or by the UK's approved data transfer agreements.
5. How long we keep it
- Enquiries that do not become a job: deleted automatically after 24 months.
- Client records, quotes, invoices and payments: six years after the end of the financial year they relate to, as tax law requires.
- Survey data, drawings and project records: 15 years after delivery (the longest period in which a claim about the work can be brought), then deleted.
- Encrypted backups: up to 90 days.
6. How we protect it
Information is encrypted in transit, our systems need a password and an authenticator code to access, access is limited to the people who need it, and backups are encrypted.
7. Your rights
You can ask us to give you a copy of your information, correct it, delete it, restrict how we use it, object to how we use it, or move it to another provider. Some rights depend on the lawful basis; for example, we must keep accounting records for the period the law requires. Email enquiries@sectionscale.co.uk. We will reply within one month.
8. Complaints
If you are unhappy with how we have handled your information, please tell us first at enquiries@sectionscale.co.uk. We will acknowledge your complaint within 30 days, look into it without delay, keep you updated, and tell you the outcome. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
9. Cookies
This website works without cookies. The only cookies it can set are:
- Spam protection. Cloudflare's spam check on our forms may set a short-lived, strictly necessary cookie to tell people and automated programs apart.
10. Changes
We will update this policy when how we use information changes, and show the date below.
